How much does PortfolioCenter cost?
As of Fall 2006, SPT is offering a "PortfolioCenter Emerging Practice" price for firms with up to 50 accounts. The annual subscription fee (which includes the 1st seat and one brokerage interface) is $2500 for Schwab managers and $3000 for non-Schwab managers. When you add your 51st account, you pay the difference between the emerging practice price and current list price.

The fall 2006 list price is $6950 (for 1 user) and with an annual maintenace fee of $1850 plus $700 for each non-Schwab interface.

You say you do "everything." What is everything?
I do everything necessary to maintain accurate data and produce accurate reports. Everything includes:

  • Database Management: Download, post and reconcile interfaces each day. Includes coding new securities; creating new client accounts and groups; researching and resolving problem transactions; inputting partial or non-postable transactions; resolving pricing and security problems; handling stock splits, mergers and spin-offs; creating sets, models, targets, etc.
  • Quarterly Client Reporting: Generating quarterly client reports for your clients. Includes running monthly portfolio and asset intervals for quarterly performance reports; updating report settings; preparing batch print jobs containing your customized client reports; annual un/realized gainloss reports; and monthly global summaries reports. You can retrieve these reports from the web for in-house printing: as a single PDF, a zip file of individual report PDFs, or a zip file of PDF by client. There is an extra charge for shipping paper copies. You may elect to include a logo, table of contents page and/or commentary page. Additionally, if you need something extra for a client meeting, with advance notice I can generate the extra reports.
  • Quarterly Client Billing: Includes running client invoices, setting up quarterly billing parameters for each client; assigning billing specs, forms and billing start dates, setting up prorated parameters for new clients as needed and generating files for uploading quarterly management fees to SchwabLink.

How long have you been working with Centerpiece (now PortfolioCenter)?
I have worked with Centerpiece -- now called PortfolioCenter -- and the Schwab Performance Technologies staff since 1992, when there were only 7 employees in the company. Given the wide-range of needs of my managers, I use every aspect of the program and reports. Additionally, I have special access to advanced technical support representatives at Schwab Performance Technologies and several of the brokerage houses.

Do you provide manual data entry?
The most cost-effective and accurate way to retrieve your data is through electronic methods. However, for information not available through downloading, I will accept a limited number (10 or less) of accounts for manual entry.

How often do you backup my data?
I run a backup daily and a full backup weekly — which I store off-site. In addition, I also have a copy of your data on my web page, and a copy on a non-production hard drive. So in addition to my working copy of your data, I have 4 current backups at any given time.

What kind of access do I have to my data?
I maintain the master copy of the database on my computer system, this allows me to remain responsible for its accuracy. If you prefer to work with your database in your office, I can transmit the data to you via a secure website. Typically, I update data weekly. You may retrieve your data as often as you'd like. Under some circumstances I can provide more frequent updates. Of course, I can send you specific reports or information at any time.

What activities can I outsource?
You can outsource everything related to the production of your data. This includes downloading, posting, month-end processing, backup, error checking, reconciliation, and problem resolution. Additionally, you will no longer need to hire, train or supervise staff to handle your PortfolioCenter (formerly known as Centerpiece) database.

Do I need to be a licensed owner of PortfolioCenter?
Yes, you must be a licensed owner of the software.

Do you have a policy on confidentiality?

How can I benefit by using your services?
You may benefit from our services if:

  • You have better things to do than sit at the computer.
  • You would rather spend your time managing money and talking to clients than learning the latest changes in the software.
  • You don't have time to customize reports and play with fonts.
  • You don't like spending time holding the phone waiting for technical support.
  • You don't have time to train yet another employee.
  • You don't want to risk corrupting your data with mistakes while you (or your employee) is in the "learning" phase.
  • You would rather not deal with error-checking and back-up.
  • You want accurate data without any hassle.

What should I put in my SEC disclosures about working with KBO?
Example Information Access Disclosure: Access to client portfolio data has been granted to Krisan Marotta of Krisan's BackOffice, Inc. for the purpose of preparing performance and other analytical reports for Company, Inc. Krisan's BackOffice, Inc. has no discretionary authority for any client accounts of our Firm.

Is PortfolioCenter GIPS compliant?
The Global Investment Performance Standards (GIPS) are a set of ethical principles used by investment management firms to establish a globally standardized, industry-wide approach to creating performance presentations that communicate investment results to prospective clients. The GIPS standards were based on and preceded in North America by AIMR Performance Presentation Standards. Many investment professions strive for and claim GIPS compliance in order to gain and maintain customers and assets.

Firms with investment assets under management that adhere to all the required elements of the GIPS can claim compliance with the standards when presenting their performance record. On the other hand, software vendors such as Performance Technologies (the producer of PortfolioCenter), and third-party consulants, such as Krisan's BackOffice, Inc. (KBO) cannot make a claim of compliance unless they actually manage the assets for which they are making the claim of compliance.

In other words, PortfolioCenter software and KBO make available the tools to adhere to the GIPS and to make a claim of compliance. However, the program cannot be said to be GIPS compliant because it is only software, and KBO cannot be said to be GIPS compliant because it is a third-party consultant.
